Privacy Policy

How SketchMind handles your data, written to be read. The short version: your boards are yours, we collect what we need to run the product, and we never sell your data.

01Who we are

SketchMind (“SketchMind”, “we”, “us”) operates the AI whiteboard available at sketchmind.app and app.sketchmind.app (the “Service”). SketchMind is a product of HypeWorks FZ LLC, Dubai, UAE — HypeWorks FZ LLC is the entity responsible for your personal data under this policy. This policy explains what personal data we collect when you use the Service or visit our website, why we collect it, and the choices you have.

02What we collect

  • Account information. Your name, email address and profile picture — either entered directly or received from Google, Microsoft or Apple when you sign in with one of those accounts.
  • Your content. The boards you create and everything on them: drawings, shapes, text, sticky notes, frames, comments and images you upload.
  • Voice and meeting notes. When you use voice or meeting notes: the text of what was said, your notes and their summaries. Not the audio — see section 6.
  • Usage data. Which features you use and how often — including a monthly count of your AI feature usage, which we need to apply the limits of your plan.
  • Billing data. Your subscription tier and billing status. Card details are handled by our payment provider and never touch our servers.
  • Technical data. Browser type, device information, IP address and log data — the basics needed to keep the Service secure and working.

We deliberately collect no more than this. No tracking across other websites, no data brokers, no ad profiles.

03How we use it

  • To run the Service — store your boards, sync them in real time, and show your collaborators what you share with them.
  • To power AI features — when you use Ask AI, voice, meeting notes or handwriting-to-text, the content you submit is processed to generate your result (see sections 5 and 6).
  • To manage your plan — meter AI usage against your monthly quota and handle subscriptions.
  • To support you — answer your messages and fix problems.
  • To improve the product — understand which features are used so we build the right things.
  • To keep things safe — detect abuse, prevent fraud and protect accounts.

We do not sell your personal data, and we do not use your boards for advertising.

04Signing in with Google & others

You can create an account with your email address or sign in with Google, Microsoft or Apple. With a third-party sign-in we receive only your basic profile: name, email address and profile picture. We never see your password for those accounts.

SketchMind's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We use your Google account data only to sign you in — nothing else.

05AI features

SketchMind's AI features (such as Ask AI and handwriting-to-text) work by sending the content you submit — a prompt, a file you attach, or the handwriting on your board — to the AI model providers of our platform, solely to generate your result. That content is processed for you, not collected to build profiles about you.

We count how often you use AI features each month to apply your plan's limits. We do not use your boards or prompts to train our own models.

06Voice & meeting notes

When you use Talk, Dictate or Meeting notes, your microphone is streamed to our speech provider, ElevenLabs, which turns it into text in real time. For meeting notes in Chrome or Edge, the sound of the browser tab you choose to share is streamed as well. We do not store the audio.

  • What we keep. The text: your notes, the transcript of a call, and its summary, decisions and next steps. They are stored in your account, and only you can see them until you put them on a board or share them.
  • AI processing. To carry out a spoken command, tidy a note or summarise a call, the text is processed by our AI provider, Anthropic. When SketchMind answers out loud, the reply is spoken by an AI voice from ElevenLabs.
  • No voice profiles. SketchMind does not identify who is speaking. A call transcript only separates “You” from “Others”.
  • Your control. Delete any note whenever you like; deleted notes are gone for good. A call in progress is also kept as a draft in your browser until it is saved or discarded.

Taking notes of other people. If you use meeting notes in a conversation with others, you decide to do so and you are responsible for it: tell everyone before you start, and get their consent where the law requires it. SketchMind gives you a line to paste in the call’s chat. If you use SketchMind for your organisation, your organisation is responsible for these notes and we process them on its behalf.

07When data is shared

Your boards are private by default. Data leaves our systems in only a few situations:

  • When you share. If you invite collaborators, publish a board or send someone a share link, the people you choose can see that board.
  • Service providers. We run on trusted infrastructure and service partners: Base44 (the platform that hosts the Service and its data), its underlying cloud and AI providers, Anthropic (AI processing of text), ElevenLabs (speech-to-text and spoken replies), our sign-in providers (Google, Microsoft, Apple) and Stripe for billing. Each processes data only to provide their service to us. Some of them process data in the United States; where the law requires it, these transfers are covered by appropriate safeguards such as the EU Standard Contractual Clauses.
  • Legal reasons. If the law genuinely requires it, or to protect the rights and safety of SketchMind and its users.
  • Business transfer. If SketchMind is ever acquired or merged, your data moves with the Service under the same protections — and we'll tell you first.

08Cookies

The app uses essential cookies to keep you signed in and keep the Service secure. Our website uses privacy-friendly analytics to understand visits in aggregate. We don't use advertising cookies or cross-site trackers.

09Retention & deletion

We keep your data for as long as your account exists. Delete a board or a note and it's removed from your workspace; delete your account (or ask us to) and we delete your personal data and content within 30 days, except for the minimum we must keep for legal, billing or security reasons.

To delete your account, email info@sketchmind.app from the address on the account.

10Your rights

Depending on where you live (for example under the EU/UK GDPR or the California CCPA), you have the right to:

  • Access the personal data we hold about you, and receive a copy.
  • Correct data that's wrong, or complete data that's incomplete.
  • Delete your data (“right to be forgotten”).
  • Export your data in a portable format.
  • Object to or restrict certain processing.

Exercise any of these by emailing info@sketchmind.app — we respond to every request, wherever you live. You may also have the right to complain to your local data protection authority.

11Security

All traffic to SketchMind is encrypted in transit (HTTPS/TLS), data is stored on secured cloud infrastructure, and access to production data is limited to the people who need it to run the Service. No internet service can promise perfect security, but we treat your boards the way we'd want ours treated.

12Children

SketchMind is not directed at children under 13 (or the higher minimum age of your country), and we don't knowingly collect their data. If you believe a child has created an account, contact us and we'll delete it.

13Changes to this policy

When we change this policy, we update the date at the top of this page. For meaningful changes we'll tell you more prominently — in the app or by email. Your continued use of the Service after a change means you accept the updated policy.
